March 2022 Newsletter

Hi Everyone,

Below is a summary of the key points from our March 2022 Board meeting. We hope it’s informative.

Chairman (David Cope)

The 2022 OWRA AGM will take place on Thursday 28 April from 7pm until 9pm at Stoke D’Abernon village hall. Please find a draft agenda below this newsletter. A finalised agenda will be circulated and loaded onto the website in advance of the meeting. We hope to see as many of you there as possible.  As we will be voting on the security proposal, please make sure you fill in a proxy vote before the meeting if you are unable to attend, we will send this out with the security survey findings and proposal.  We have been working on a mission statement and a set of objectives for the management of the estate.  We will publish these on the website in the next couple of weeks and would really appreciate your feedback.

Security and gates (David Morris)

Thank you to all those residents who have responded to the security survey (61%) with their completed surveys and accompanying comments. The data is currently being analysed and the results of this analysis, with the appropriate proposed action, will be communicated prior to the AGM. This will further be presented at that AGM and residents will then be given the opportunity to vote on a security package that meets the consensus.

Drains and Roads (Paul Vasili)

We have had a road sweep after the storm.  Please may we also request that residents / their gardeners do not blow garden waste into the road.  This has become more common with the issues with brown bin collections and causes problems with the drains as well as looking unsightly

Elmbridge garden waste collections recommenced on Friday 18 March, once every 4 weeks. Please note that a private alternative is being offered on the estate by Michael from Five Star Rubbish Clearance on alternative weeks. You can contact Michael directly on 07903 202 781 to sign up for this service.

Planning (Nick Murray)

The proposed new guidelines for planning and development on the estate have been updated to reflect the feedback of a number of residents. These proposed guidelines will be voted on at the 2022 AGM.

Trees and Verges (Tiggy Walker)

As a result of the February storms, there was damage to the estate’s flora. We’re hugely grateful to our tree surgeon, Mark Lindsey, who reacted very promptly to secure unsafe areas.

As part of our 3 year strategy, a tree survey will be carried out within the estate by Mark over the next few months. The purpose of this survey is to identify any of our trees that need care or are in the last stages of their life to aid succession planning.

Communications (Verity Peatfield)

We are committed to communicating regularly with the residents and we hope you have found our updates useful. Any feedback will be warmly received. The website now includes a newsfeed that will contain helpful updates such as dates of maintenance works within the estate or the details of the AGM. Finances (Rebecca Mayhew)

To date, we have received 100% of the annual contributions from our 205 owners. The annual contributions are used to fund the upkeep of the Estate.  A draft budget has been prepared for 2022 and this will be circulated in advance of the upcoming AGM, where it will be presented for approval.

Queen’s Jubilee (Volunteers Needed!)

We would like to mark the Queen’s Jubilee this year with a street party on Sunday 5 June. To this end, we are requesting volunteers to form a social sub-committee to organise the celebration. Please email Verity Peatfield if you are able to help out.
