Hi Everyone,

Special General Meeting - 12th January 2023 - Cobham Curve and Zoom

Thanks to all members who attended the SGM either in person at the Cobham Curve or on Zoom.  We had 20 members present in person and 27 on Zoom.  Apologies for any audio problems for those on Zoom.  It was our first time with a meeting with both Zoom and a physical meeting and we will certainly be sticking to the latter going forwards.

Prior to the meeting we received 55 proxy votes.

The SGM had two agenda items.

1. To request approval for additional spend on the security project (ANPR and CCTV) up to £200,000

2. To request funding for additional street lighting of £50,000

The proxy position for the 2 agenda items before the vote in the room and on Zoom was:

1. Additional security funding - FOR 50, AGAINST 5

2. Street light funding - FOR 46, AGAINST 8, ABSTENTIONS 1

The vote in the room and on Zoom were as follows:

We took several actions from the meeting:

1. We will come back with greater detail on how the security of the ANPR database will be ensured

2. We will look at the potential security risk from the footpath on Mizen Close

3. Once the CCTV and ANPR solution is operational we will have a meeting to discuss how the estate wants to best utilise the solution.

We are already engaged with Lantec on signing the contract and buying the materials.   We expect the civil works to start 20th February.

Trees and Verges (Robert Hamill)

We are pleased to announce that Robert Hamill has joined the Board to take on the role of managing the Estate’s trees and verges.

Finances (Rebecca Mayhew)

We have now received 193 annual contributions (94%) which leaves 13 unpaid.
